Our booking policies may change from time to time. The policies below reflect the latest update to this page. The specific policies your school will be agreeing to will be included with the confirmation form you sign when booking a performance.
1. PAYMENTS: All payments must be made payable to Education Arts Canada (“EAC”) by cheque or etransfer to payments@educationarts.ca. A non-refundable deposit is required within ten (10) days of booking confirmation. The balance is due in full on or before the day of the performance.
2. CANCELLATION: Deposits are non-refundable. Cancellations made fewer than sixty (60) days prior to the scheduled performance date will be subject to the full invoice amount if an alternate date cannot be arranged. EAC will make reasonable efforts to accommodate rescheduling due to conflicts, inclement weather (including snow days), or other unforeseen circumstances.
3. PERFORMANCE SPACE: EAC will provide all necessary production equipment. The school must provide full, uninterrupted access to the gymnasium or auditorium for set-up, performance, and dismantling. Specific timing will be confirmed closer to the performance date (typically beginning one (1) hour prior to the performance and concluding approximately forty-five (45) minutes after). All bells and announcements must be silenced in the performance space during the show. EAC reserves the right to refuse to perform in any environment deemed unsafe (e.g., unstable staging, wet or slippery floors, exposed wiring).
4. ACCESS REQUIREMENTS: EAC productions require the transport of heavy equipment. EAC requires safe, continuous rolling access (e.g., wheelchair access) between the load-in point (vehicle unloading area) and the performance space, free of obstructions, snow and ice. Any exceptions to this must be agreed to in writing at the time of booking. If these conditions are not met or disclosed and adequate access is not available on the day of the performance, EAC reserves the right to cancel the performance, and the full contracted fee will remain payable.
5. COPYRIGHT AND RECORDING: EAC performances may not be recorded, photographed, or
reproduced without prior written consent. Permission is granted for school staff to take a few photos and 2-3 brief video clips (up to 30 seconds per clip) that may be shared on social media or school newsletters. Teacher resource materials may be used within the purchasing school only in connection with the booked program.
6. THEATRE ETIQUETTE AND STUDENT SAFETY: EAC performances are interactive, and student participation is encouraged at appropriate times. Students and staff are expected to demonstrate respectful behaviour, including turning off electronic devices, refraining from talking during the performance, and giving full attention to the performers. While EAC designs programs with student safety in mind, supervision and discipline of students remain the sole responsibility of teachers and school staff at all times. EAC recommends that attendance be limited to the grade levels for which the performance was specifically designed. Bringing older or younger children may jeopardize the show’s effectiveness for its intended audience.
7. UNFORESEEN CIRCUMSTANCES AND INCLEMENT WEATHER: In the event of inclement weather or other unforeseen circumstances, both parties will make reasonable efforts to reschedule the performance within the same school year. If EAC cancels the performance for any reason (including circumstances beyond its control), the school will not be charged, and any payments made will be fully refunded. If the school cancels the performance for any reason (including circumstances beyond its control), the full contracted fee will remain payable.
